Viewing Credentials Status Codes

To view credential status codes:

  1. Click Schedule > Schedule Browse.
  2. Enter filter criteria to view the desired department. 
  3. The Cred/Comp column displays Credential Status and Competencies.
  4. Click Cred in the column header to view employee competency status codes.

CREDENTIAL STATUS

C =

Compliant if all of the credentials will expire in greater than 90 days.

Date (ex12/31/12) =

If any of the credentials will expire in 1-89 days. If more than one credential will expire in the next 90 days, the earliest date appears.

Exp =

Expired if any of the credentials are currently expired.

REQ =

Blue if the credential status is now either Block or Warn.

Blank =

Credentials monitoring is set to Off.

 

Settings for Scheduling with Credentials Tracking

There are two facility configuration options when scheduling with credentials tracking: Block or  Warn. 

To set facility options:

  1. Log in as a user assigned the Facility Coordinator or higher.
  2. Navigate to Facility > Browse Facilities.
  3. Enter filter criteria to view the desired facility and save. 
  4. On the Facility General Info screen, click Edit.
  5. Scroll down to the Credential Tracking Status and select an option:
    1. Off
    2. Block - The employee can be scheduled beyond the credential expiration date with the assumption that the credential will be renewed in time. If a credential expires, all shifts for that employee past the expiration date will be canceled. 
    3. Warn - Shifts are not removed from the schedule when a credential expires. Instead, a notification will be sent to the employee and anyone designated to receive credentials notifications.
  6. If Block or Warn is selected, choose the number of days prior to the credential expiration date that the employee and their manager should be notified of the expiration.

The scheduler allows shifts to be added to the schedule past the expiration date as long as the expiration date is in the future. The assumption is that the credential will be renewed prior to expiration.

 Warn

Shifts scheduled past the Expiration Date appear in blue.

Shifts scheduled past the Expiration Date appear in blue.

Shifts are canceled when the Expiration Date occurs. This includes any night shifts scheduled on the Expiration Date because night shifts extend into the next day. When the shift is canceled, the Daily Roster and Shift Summary update and no longer show the blocked employee.

Shifts scheduled under the Warn functionality are not removed from the schedule but a notification is still sent to the employee and anyone designated to receive the notifications.

Shifts are cancelled for the next day, one day at a time, until the credential is renewed. No shifts can be added to the Schedule once the Expiration Date is passed with the Block option.

Blocked shifts are canceled effective the day prior to the Shift Start. Notifications are sent to the employee and anyone designated to receive the notifications.
